Events Coordinator

Responsibilities

• Provide coordination and administrative support for retail pop-ups, conventions, exhibitions, and festival experiences
• Develop event production tools including tracking sheets, vendor lists, budget trackers, and production timelines
• Collaborate with marketing, brand, creative, retail, and PR departments
• Conduct vendor and agency research, collect RFPs, and maintain contact lists
• Support budget tracking, invoice reconciliation, and cost estimate input
• Assist with contract and legal document processing
• Provide on-site event support including vendor check-in, staffing coordination, and venue setup/teardown
• Contribute to post-event reconciliation and performance data collection

Requirements

• 2-3 years of experience in event coordination, brand activations, or experiential marketing
• Strong administrative, organizational, and time-management skills
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
• Ability to multitask across multiple projects and meet deadlines
• Flexibility to travel and work evenings/weekends as required
• Legal authorization to work in the United States

Preferred Qualifications

• Experience in both brand and agency environments
• Familiarity with vendor management and event logistics
• Knowledge of project management tools like Asana or Trello
• Experience with communication platforms like Slack or Discord
