About the role

Responsibilities

  • Support the planning and delivery of Presidential and strategic events, including Board of Trustee meetings, Convocation, Commencement, and ceremonial functions.
  • Assist with event logistics from concept through execution, including timelines, run-of-show documents, and vendor coordination.
  • Prepare event materials such as agendas, guest lists, seating diagrams, signage, and briefing documents.
  • Provide on-site support during events to ensure smooth execution and assist with real-time issue resolution.
  • Collaborate with internal stakeholders across the President’s Division, University Advancement, and Campus Safety to ensure seamless coordination.
  • Coordinate with external vendors, caterers, and service providers to confirm schedules and deliverables.
  • Assist with administrative tasks including budget monitoring, invoice processing, and maintaining organized event records.

Requirements

  • Bachelor’s degree in event management, hospitality, communications, public relations, or a related field.
  • 1–3 years of experience supporting events, hospitality operations, or project coordination.
  • Strong organizational skills and high attention to detail with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism when supporting executive-level events.
  • Proficiency with standard office technology and productivity tools.
  • Willingness to work non-standard hours, including evenings and weekends, during peak event periods.

Preferred Qualifications

  • Experience with executive-level events or higher education event management.
