Event Operations Specialist

Responsibilities

• Manage the full operational lifecycle of events including venue sourcing, catering, vendors, AV, and run-of-show
• Act as the primary on-site point person to resolve issues and ensure smooth execution
• Create and refine repeatable operational playbooks, checklists, and timelines for various event formats
• Track budgets, staffing needs, and vendor relationships
• Partner with the Events & Partnerships Lead to translate strategy into operational plans
• Monitor event performance and iterate on processes to reduce friction and improve efficiency
• Track expenses against budgets and flag overages early

Requirements

• Experience running the operational side of high-quality events
• Highly organized with the ability to manage multiple vendors and events in parallel
• Strong judgment and ability to stay calm under pressure during on-site execution
• Comfortable owning logistics end-to-end from planning through breakdown
• Experience building systems, documentation, and repeatable workflows
• Proactive and clear communicator with cross-functional stakeholders
