About the role

Responsibilities

  • Oversee multiple concurrent conferences, meetings, workshops, and special events from initial planning through completion
  • Serve as the primary coordination point for committee chairs, tracking deliverables and maintaining timelines
  • Manage the full contract lifecycle, including drafting, reviewing, negotiating, and finalizing agreements with vendors and venues
  • Coordinate logistical details such as Banquet Event Orders (BEOs), room layouts, audiovisual needs, and catering services
  • Oversee financial planning, including creating budget documents, tracking expenses, and processing invoices
  • Provide on-site leadership by supervising event staff, contractors, and volunteers to ensure smooth operations

Requirements

  • Bachelor's Degree
  • Valid driver's license
  • Ability to travel statewide depending on event location

Preferred Qualifications

  • 7 years of related experience in event planning, contract management, or budget management
  • Experience with state governmental meeting and planning processes
  • State Governmental Meeting and Planning Certification
