About the role

Responsibilities

  • Assist with pre-event logistics, planning, and production timelines
  • Coordinate with vendors, venues, and partners to ensure seamless execution
  • Manage guest communications and confirmations
  • Lead off-site event execution, including dinner coordination and off-site activities
  • Manage run-of-show, guest flow, and transportation timing for specific activations
  • Troubleshoot on-site challenges quickly and professionally
  • Provide general event coordination support across all program days

Requirements

  • Prior experience in event coordination, production, or event management
  • Strong organizational and time-management skills
  • Excellent communication and vendor management abilities
  • Ability to lead off-site activations independently
  • Ability to work flexible hours leading up to and during the event
  • Calm under pressure with strong problem-solving skills
  • Ability to work in-office in El Segundo (pre-event) and on-site in Huntington Beach (during event)
