Document Controller

Responsibilities

• Manage the Procore Document Management System (DMS), including file setup, workflows, approvals, and compliance.
• Support engineering, production, and infrastructure projects through document administration and change control processes.
• Maintain accurate records, files, and databases to ensure the facility remains compliant with "Best Practice" and the Golden Thread process.
• Issue NDAs, contracts, and account forms to contractors, suppliers, and consultants, managing the onboarding and approval process.
• Liaise with Facilities Managers, Project Managers, and Finance to manage PO records, contractor payments, and facility budgets.
• Coordinate with legal teams regarding contractual issues, building insurance, and landlord documentation.
• Manage tool and machine records, including technical drawings, purchase orders, warranty documents, and O&M Manuals.
• Provide general administrative and clerical support to the Facilities Department and wider management teams.

Requirements

• Extensive experience in professional administration.
• Proven track record as a Document Controller with deep proficiency in Procore DMS.
• Proficiency in Microsoft Office Suite.
• Ability to edit PDF documents and technical drawings.

Preferred Qualifications

• Experience with AutoCAD.
