Division Coordinator

Responsibilities

• Provide administrative and operational support for the Human Phenotype Project (HPP) and the Biological and Life Sciences (BLS) division
• Serve as the primary coordination point between the BLS Division, service providers, and University departments
• Support the Academic Operations Manager and Research Project Manager with management initiatives and service improvements
• Facilitate effective communication among division staff, operational teams, and central services
• Manage departmental HR administration, including onboarding coordination and performance cycle administration
• Support financial processes by tracking budgets, processing requests, and monitoring expenditures
• Coordinate the planning and execution of divisional events, workshops, and internal initiatives
• Manage business travel arrangements for division leadership, including flights, accommodation, and visas

Requirements

• Bachelor's degree in Human Resources, Business Administration, Education, Event Management, or a related field
• Minimum 5 years of experience in administrative coordination, operations support, or project coordination within a complex organization
• Proficiency in Microsoft Office applications and experience with enterprise systems (e.g., ERP)
• Strong stakeholder management and communication skills
• Proven experience in budget tracking, procurement coordination, and vendor liaison
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment

Preferred Qualifications

• Postgraduate degree in a related field
• Experience within a higher education or research institutional environment
• Experience coordinating executive or senior management travel and logistics
• Professional experience in the UAE and working knowledge of Arabic
