Director, Meeting Services

Responsibilities

• Manage end-to-end program logistics including venue selection, contract negotiations, travel, F&B, AV, and ground transportation
• Oversee the seamless execution of live, virtual, and hybrid meetings, including virtual platform configuration and technology vendor management
• Lead and mentor team members, providing career development, training, and performance oversight
• Manage project budgets, including forecasting hours, pass-through costs, and identifying cost-saving opportunities
• Build and customize registration websites and recruitment material templates
• Coordinate attendee management, communication, and compliance with Open Payment Guidelines
• Lead on-site logistics teams at large-scale meetings to coordinate with clients, venues, and vendors
• Participate in new business pitches and project kick-off meetings

Requirements

• Bachelor's degree or 12 years of experience in a pharmaceutical hospitality role
• Proven experience planning live, virtual, or hybrid meetings within a pharma agency or congress environment
• Strong knowledge of hotel bookings, air travel, and vendor negotiations
• Proficiency in Cvent or similar registration platforms
• Proficiency in Microsoft Excel

Preferred Qualifications

• Certified Meeting Professional (CMP) designation
