About the role

Responsibilities

  • Provide comprehensive administrative, operational, and programmatic support for the Conservatory of Music's Office of the Dean and the Division of Jazz Studies.
  • Coordinate Conservatory facilities operations, including building access systems, work order coordination, and facility inspections.
  • Manage the Conservatory’s instrument inventory program, including student loans and digital records.
  • Support the Office of the Dean with guest apartment scheduling and special event planning (receptions, banquets, etc.).
  • Provide administrative support for Jazz Studies faculty, including preparing class materials, schedules, and student lists.
  • Coordinate promotional communications and digital outreach for Jazz Studies, including graphic design, social media, and website updates.
  • Manage academic and performance scheduling logistics, such as rehearsal spaces, auditions, and ensemble operations.
  • Maintain music libraries for the Oberlin Jazz Ensemble and Sonny Rollins Ensemble, including score transcription and editing.
  • Coordinate travel, accommodations, and itineraries for faculty, students, and guest artists.

Requirements

  • 5–7 years of professional experience in administrative operations, academic administration, arts administration, or a related field.
  • Bachelor's degree preferred, or an equivalent combination of education and experience.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with graphic design and communications platforms such as Canva or Adobe Creative Suite.
  • Strong organizational, written, and interpersonal communication skills.
  • Ability to exercise independent judgment and handle sensitive or confidential information with professionalism.

Preferred Qualifications

  • Familiarity with music ensemble operations, concert production, or arts administration.
  • Experience supporting academic programs within higher education or performing arts environments.
  • Working knowledge of music terminology and performance logistics.
  • Experience with music notation software such as Finale or Sibelius.
