About the role

Responsibilities

  • Provide administrative and office management support for the French, Italian, Hispanic Studies, Language Lab, and Music departments.
  • Serve as the primary point of contact for students, faculty, staff, and visitors.
  • Assist faculty with course preparation, recruitment logistics, and academic communications.
  • Coordinate departmental events, including speaker series, open houses, and alumni visits.
  • Manage departmental budgets, process invoices, and oversee reimbursements and payments.
  • Maintain and update departmental websites and digital communications.
  • Organize and maintain physical and digital files, including confidential records.

Requirements

  • High school diploma.
  • 3–5 years of recent office experience, preferably in an academic setting.
  • Minimum keyboarding speed of 50 wpm.
  • Proficiency in Microsoft Word and Excel.
  • Familiarity with website maintenance.
  • Strong interpersonal, organizational, and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment with high attention to detail.

Preferred Qualifications

  • Bachelor’s degree.
  • Experience with higher education administrative software or ERP systems.
  • Working knowledge of Spanish and/or French.
  • Experience working with diverse populations in an academic environment.
