About the role
Responsibilities
- Coordinate departmental scheduling, academic operations, and communications, including managing the master department calendar and meeting agendas.
- Provide direct student support by answering inquiries regarding program pathways, course availability, and departmental processes.
- Offer logistical and instructional support to faculty, including preparing course materials and assisting with LMS tools like Brightspace.
- Provide high-level administrative assistance to the Department Chair, managing calendars, drafting communications, and supporting HR-related workflows.
- Oversee daily office operations, including inventory monitoring, supply procurement, and equipment maintenance requests.
- Maintain and update departmental web pages and develop promotional materials such as newsletters and email announcements.
- Assist with course scheduling, verifying instructor assignments, room scheduling, and catalog accuracy.
Requirements
- Bachelor’s degree.
- 3 years of experience in office/clerical support, including handling high-volume phone calls.
- 3 years of experience in customer service.
- 3 years of experience working with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- 3 years of experience processing MOUs, contracts, reimbursements, purchase orders, and budget expenses.
- 3 years of administrative experience in a service-oriented environment, preferably in higher education or PK-12 settings.
- Strong organizational, time management, and critical thinking skills.
- Ability to maintain strict confidentiality regarding departmental data and records.
Preferred Qualifications
- Exceptional written and verbal communication skills.
- Proficiency in using Banner to retrieve student records and process overrides.
- Advanced knowledge and skills in the Microsoft Office Suite.
