Customer Service Representative

Responsibilities

• Manage client communications by answering calls and emails promptly with professional and friendly service
• Schedule appointments based on client needs and veterinarian availability, including forward booking
• Use technology to send appointment reminders, confirmations, and follow-up messages
• Greet clients warmly and ensure a positive experience throughout their visit
• Gather medical information and triage inquiries, directing complex questions to the medical team
• Update client and patient records in the practice management system with accuracy
• Process billing transactions, including credit card payments, digital payments, and insurance claims
• Provide clients with accurate post-visit instructions, such as medication schedules
• Maintain a clean, organized reception area and assist with daily practice operations

Requirements

• High school diploma or equivalent
• Prior customer service experience
• Basic proficiency with technology, including scheduling software and online communication platforms
• Ability to lift up to 40 pounds independently
• Ability to work in a fast-paced, dynamic environment, including potential evening or weekend hours

Preferred Qualifications

• Prior experience in a veterinary or healthcare setting
