About the role

Responsibilities

  • Manage the contract process from initial receipt through closing, ensuring accurate documentation and coordination.
  • Process and review Earnest Money Contract Packages with high diligence and accuracy.
  • Handle Earnest Money received via mail, wire transfers, and electronic payment methods.
  • Maintain precise records and perform timely data entry into company databases.
  • Serve as an advanced user of internal platforms including D365, Sales Hub, and Power BI.
  • Collaborate with Sales Professionals, Accounting, and Title Companies to resolve contract and closing issues.
  • Prepare complete closing files and dispatch title packages and instructions promptly.
  • Verify all required documents are finalized prior to closing and secure necessary signatures.

Requirements

  • High school diploma or equivalent.
  • 1–3 years of relevant administrative or clerical experience.
  • Proven ability to manage multiple priorities with meticulous attention to detail.
  • Proficiency in Microsoft Office applications (Outlook, Excel, Word, and PowerPoint).

Preferred Qualifications

  • Experience in contract administration or closing functions.
  • Experience with D365, Sales Hub, or comparable internal systems.
  • Proficiency with 10-key by touch.
  • Texas Notary Public commission.
