About the role
Responsibilities
- Serve as the primary client liaison for assigned pharmaceutical congresses, managing ancillary meeting spaces and logistical support.
- Establish project timelines and workflows with clients and suppliers to ensure accurate handling of program details.
- Negotiate and manage contracts for hotels, congress needs, destination management companies (DMC), air travel, and third-party vendors.
- Coordinate AV, catering, and meeting room requirements to ensure all spaces meet customer specifications.
- Conduct site inspections, produce program itineraries, and lead program debriefs with clients.
- Manage program financials, including forecasting, monthly tracking, and accurate business management system updates.
- Partner with internal teams to coordinate registration, air needs, and continuous communication throughout the program lifecycle.
Requirements
- 3-5 years of meeting planning experience.
- At least 2 years of experience specifically supporting the Pharmaceutical business.
- Advanced proficiency in Microsoft Word and Excel.
- Ability to travel up to 40% via airplane, boat, rail, or car.
- Strong oral and written presentation skills with the ability to communicate professionally with all levels of management.
Preferred Qualifications
- Experience with CVENT or other meeting industry technology.
- Pharmaceutical Congress-specific experience.
- 4-year degree.
- CMP designation.
