Clinical Trial Payments and Administration Coordinator

Responsibilities

• Receive, review, and validate invoices from investigative sites, ethics committees, and vendors
• Process site and study payments in CTMS, ensuring correct milestone achievement and payee information
• Track, reconcile, and follow up on payments to prevent delays or duplicate payments
• Prepare and maintain site payment trackers and financial overview tables for Clinical Project Managers
• Scan, file, and maintain electronic and paper-based payment documentation in compliance with EU retention requirements
• Support audits, inspections, and QA activities through accurate and complete documentation
• Enter and reconcile patient milestones and payment data within CTMS and SharePoint repositories

Requirements

• Fluent in English
• Experience in clinical trial administration, site payments, or financial operations
• Experience working within a CRO, sponsor, or clinical research environment
• High attention to detail with strong organizational and documentation skills
• Ability to manage high volumes of invoices, payments, and strict deadlines

Preferred Qualifications

• Hands-on experience with CTMS (Clinical Trial Management System)
• Familiarity with clinical trial payment workflows
