About the role

Responsibilities

  • Manage end-to-end student clearance processes for clinical rotations, ensuring timely completion of all requirements.
  • Coordinate clinical placements with students and affiliated sites, including schedule communication and relationship management.
  • Track and maintain student compliance with immunizations, certifications, and site-specific requirements.
  • Maintain secure and accurate student, preceptor, and site records in compliance with FERPA and HIPAA.
  • Maintain and update clinical databases (e.g., Exxat) to ensure accurate scheduling, placement, and compliance data.
  • Generate routine and ad hoc reports on student placements and clearance status for program operations and accreditation.
  • Coordinate the processing of clinical affiliation agreements, including tracking status and renewals.
  • Support the admissions committee with applicant interviews and selection processes.
  • Provide administrative support for committee meetings, including preparing and distributing minutes.

Requirements

  • Bachelor’s degree or equivalent education.
  • Minimum of two years of experience providing administrative support.
  • Proficiency in Microsoft Office Suite and database management.
  • Valid driver’s license and ability to meet University fleet rules.

Preferred Qualifications

  • Master’s degree.
  • Experience in a Physician Assistant program or similar professional education program.
  • Familiarity with accreditation processes (e.g., ARC-PA).
  • Strong critical thinking, analytic skills, and ability to manage multiple priorities in a fast-paced environment.
  • Exceptional organizational skills and the ability to maintain strict confidentiality.
