About the role

Responsibilities

  • Manage high volume inbound calls and greet clients and visitors
  • Gather and enter prospective client information into Actionstep
  • Explain firm educational workshops and manage registrations
  • Schedule and coordinate consultations, meetings, and workshops
  • Prepare conference rooms and assist with meeting logistics
  • Prepare engagement agreements, process payments, and organize records
  • Communicate client needs and updates to attorneys and team members
  • Support firm workflows and adopt AI-enabled processes

Requirements

  • High-level communication and empathy skills
  • Strong multitasking and prioritization abilities
  • Proficiency with Microsoft 365, Teams, and Zoom
  • Willingness to learn case management systems like Actionstep
  • Punctual and dependable work ethic

Preferred Qualifications

  • Experience in client services, hospitality, or medical/dental offices
  • New York Notary status
  • Fluency in a second language
