About the role
Responsibilities
- Manage high volume inbound calls and greet clients and visitors
- Gather and enter prospective client information into Actionstep
- Explain firm educational workshops and manage registrations
- Schedule and coordinate consultations, meetings, and workshops
- Prepare conference rooms and assist with meeting logistics
- Prepare engagement agreements, process payments, and organize records
- Communicate client needs and updates to attorneys and team members
- Support firm workflows and adopt AI-enabled processes
Requirements
- High-level communication and empathy skills
- Strong multitasking and prioritization abilities
- Proficiency with Microsoft 365, Teams, and Zoom
- Willingness to learn case management systems like Actionstep
- Punctual and dependable work ethic
Preferred Qualifications
- Experience in client services, hospitality, or medical/dental offices
- New York Notary status
- Fluency in a second language
