About the role
Responsibilities
- Plan, facilitate, and manage key fiscal and business administrative functions for core programs serving approximately 2,000 students
- Prepare, review, and reconcile purchase orders, cash transmittals, journal entries, and other financial transactions
- Provide general administrative and operational support, including processing travel orders, expense reports, and payroll transactions
- Maintain accurate records of expended funds and ensure availability of funding through commitment accounting
- Reconcile accounts monthly and prepare fiscal and program reports for university, state, and federal sponsors
- Provide administrative support to the Director/Associate Dean by managing calendars, scheduling meetings, and handling external communications
- Assist in developing and submitting annual budgets, including monthly forecasting reports
- Make recommendations to improve financial and business processes to enhance operational efficiency
Requirements
- Bachelor's degree in a related field, or an equivalent combination of education and experience
- Demonstrated knowledge of accounting, finance, business administration, and bookkeeping
- Proficiency in office administration, organization, and report writing
- Strong communication skills and computer literacy
Preferred Qualifications
- Minimum of 2 years of experience in a business or administrative support role
- Experience in a busy, service-oriented, or programmatic environment
- Extensive knowledge of Microsoft Office 365 (Word, Outlook, and Excel)
- Experience with Rutgers’ Financial Management (Oracle Cloud) and Rutgers Marketplace (Jaggaer) is a plus
- Ability to multitask, establish priorities, and maintain successful working relationships with diverse staff
