About the role
Responsibilities
- Monitor public bidding portals and manage RFQ tracking systems
- Download and organize bid documents using SmartBid, BuildingConnected, and PlanetBids
- Prepare, notarize, and submit bid documents electronically and in-person
- Coordinate bid bonds, builder’s risk insurance, and bid security
- Draft and manage subcontract agreements and track negotiations
- Collect and verify compliance materials including insurance certificates and licenses
- Prepare owner contracts and manage AIA documents for private sector projects
- Maintain detailed contract files and compliance documentation like DVBE and safety plans
Requirements
- 3–5 years of construction industry experience in bid management or contract administration
- Proficiency with SmartBid, BuildingConnected, or PlanetBids
- Strong skills in Microsoft Office Suite and DocuSign
- High attention to detail and ability to manage multiple deadlines
Preferred Qualifications
- Degree in Construction Management or Business Administration
- Experience with public works projects
- Notary Public certification
- Knowledge of AIA forms
