Responsibilities

• Lead the loan review and approval process, convening curators and conservators to assess loans based on venue, condition, and schedule
• Review borrowing institutions’ facility reports and ensure compliance with NYPL requirements
• Manage all loan negotiations and serve as the primary point of contact with borrowing institutions
• Organize materials for review and approval by the Director and NYPL Board
• Issue outgoing loan agreements and exhibition contracts
• Arrange insurance coverage in coordination with the Senior Registrar and fine arts insurance broker
• Prepare loan cost estimates, issue invoices, and track revenue
• Coordinate conservation treatment, matting, framing, and mount fabrication with staff and vendors
• Create condition reports and manage all loan-related documentation
• Arrange transport, shipping, crating, and courier arrangements for domestic and international loans
• Serve as a courier for loans when needed

Requirements

• Experience in registrarial work or collection management
• Ability to manage administrative, logistical, and risk management activities for outgoing loans
• Experience working with art logistics vendors, insurance providers, and fabricators
• Ability to manage contracts and purchase orders
• Strong collaborative skills to work with Curatorial, Conservation, and Exhibition departments
