About the role
Responsibilities
- Provide senior administrative coordination and oversight for the Associate Dean, Equity, the Director of Innovation and Business Development, and the Director of Graduate and Postdoctoral Studies.
- Manage administrative workflows, including maintaining workplans, tracking deliverables, and scheduling appointments and meetings.
- Act as the primary administrative contact for portfolio-related processes, responding to inquiries with professional diplomacy.
- Oversee the administrative cycle for various faculty awards, including coordinating timelines, reviewing submissions, and tracking decisions.
- Support the Strategic Plan Implementation and Peer Review of Teaching processes by tracking data, monitoring completion status, and preparing reports.
- Manage financial tasks such as preparing expense claims, maintaining records, and tracking reimbursements.
- Coordinate special events and provide reception services, including greeting visitors and managing incoming/outgoing mail.
Requirements
- High School graduation plus a two-year post-secondary diploma.
- Four years of related administrative experience (or an equivalent combination of education and experience).
- Proficiency in MS Word and Excel with the ability to manage complex data.
- Typing speed of 50-60 wpm.
- Demonstrated commitment to equity, diversity, and inclusion.
Preferred Qualifications
- Experience with WordPress for website management.
- Experience using University systems such as Workday, PAIR, or ORS.
- Strong ability to resolve problems, exercise initiative, and maintain discretion with highly confidential material.
- Excellent verbal and written communication skills for interacting with diverse stakeholders.
