About the role

Responsibilities

  • Support ITS Project Managers with project planning, schedule maintenance, task tracking, and action item follow-through
  • Prepare and maintain project artifacts including charters, work plans, meeting agendas, decision logs, and status reports
  • Coordinate project meetings and workshops, documenting outcomes and communicating next steps to stakeholders
  • Independently manage low-risk projects or workstreams, including scope, schedule, and stakeholder coordination
  • Maintain accurate project data in portfolio management tools such as Smartsheet
  • Assist with portfolio reporting by compiling weekly and monthly status updates, dashboards, and metrics
  • Partner with change management and training resources to support stakeholder engagement and communications
  • Coordinate vendor meetings and track deliverables for assigned projects

Requirements

  • Bachelor's degree in business, information systems, information technology, or a related field
  • 1-3 years of experience in project coordination or administration in a professional environment
  • Foundational knowledge of project management concepts and structured planning methods
  • Proficiency with Microsoft 365, including Teams, Excel, Word, and PowerPoint
  • Strong organizational and communication skills with high attention to detail
  • Ability to work effectively with diverse stakeholders, including technical teams and external vendors

Preferred Qualifications

  • CAPM certification or completion of project management education
  • Experience using project and portfolio management tools like Smartsheet
  • Experience supporting organizational change activities, communications planning, or training coordination
  • Experience working in higher education or a complex mission-driven organization
