About the role

Responsibilities

  • Manage a portfolio of small to mid-sized institutional events, including faculty gatherings, departmental celebrations, and clinical engagement programs.
  • Lead event planning and execution by developing detailed timelines, production schedules, and run-of-show documents.
  • Coordinate all logistical components such as catering, audiovisual services, rentals, space reservations, and security.
  • Support the Director of Events in executing large-scale campus ceremonies and high-profile executive-level gatherings.
  • Build strong working relationships with clinical departments to translate programmatic goals into well-executed events.
  • Develop and manage event budgets, track expenses, and process vendor invoices and contracts.
  • Source and coordinate with external vendors and internal departments like Facilities, IT, and Public Safety.

Requirements

  • Bachelor's degree or equivalent professional experience.
  • 4 years of professional event planning experience, preferably in higher education, healthcare, or complex institutional settings.
  • Strong project management, organizational, and multitasking skills.
  • Proven experience managing event budgets and financial reconciliation processes.
  • Excellent interpersonal and client service skills.
  • Ability to work evenings and weekends as required for event support.

Preferred Qualifications

  • Experience planning events within an academic medical center or university environment.
  • Familiarity with Columbia University systems (e.g., EMS, ARC, FFE).
  • Experience supporting executive-level or high-profile institutional events.
  • Knowledge of event production elements including staging and audiovisual coordination.
