About the role
Responsibilities
- Coordinate and control the Executive Management agenda, including organizing meetings, making confirmation calls, and managing delegated matters to allow the Director to focus on strategic activities.
- Update and archive documents generated by the Executive Office, ensuring the integrity and custody of work files and sensitive information.
- Receive, classify, and distribute correspondence and telephone calls, routing them to the appropriate personnel based on urgency and subject matter.
- Provide administrative support for travel management, expenses, and staff payments in coordination with relevant departments and established procedures.
- Control the inventory and consumption of office supplies and stationery to ensure uninterrupted departmental performance.
Requirements
- 8+ years of experience as an Executive Assistant to C-Level, Presidency, Board, or General Management.
- Bachelor's degree in Administration, International Business, Communication, International Relations, or a related field.
- Advanced English fluency (Mandatory).
- Proven experience working in corporate, multinational, or highly regulated environments.
- Expertise in complex agenda management with multiple internal and external stakeholders.
- Proficiency in Microsoft 365 and Google Workspace.
- Strong executive writing skills for emails, minutes, and reports.
- Ability to create high-impact presentations (PowerPoint/Keynote).
Preferred Qualifications
- Certifications in administrative management, project management, or business communication.
- Experience in basic financial information analysis and executive reporting.
- Experience in corporate event organization and complex logistics coordination.
