Arts Research Centres Assistant

Responsibilities

• Provide high-level administrative support to the Arts Research Centres Administrator and Director, Research Development.
• Coordinate student appointments, including payroll inquiries, onboarding/offboarding, and processing appointment documents.
• Research and communicate UBC student appointment policies and procedures to faculty and staff.
• Support meetings and events through venue booking, scheduling, catering, technical setup, and attendance tracking.
• Draft and distribute communications regarding funding opportunities, upcoming events, and health & safety notifications.
• Maintain and update Arts webpages related to the Research Centres portfolio using WordPress.
• Assist in coordinating proposal, renewal, and sundowning procedures for research centres.
• Manage electronic information systems, including mailing lists and online records.

Requirements

• High School graduation plus at least one year of post-secondary education.
• Four years of related administrative experience.
• Advanced proficiency in Microsoft Word and Excel.
• Hands-on experience with WordPress Content Management System (CMS).
• Demonstrated commitment to equity, diversity, and inclusion.

Preferred Qualifications

• Working knowledge of University policies and procedures.
• Ability to exercise tact, discretion, and sound judgment when handling sensitive information.
• Strong organizational skills with the ability to manage multiple priorities under pressure.
• Excellent verbal and written communication skills.
• Experience training or supervising students.
