About the role

Responsibilities

  • Manage telephone contact with clients and prospects
  • Handle electronic calendars, organize meetings, training sessions, and travel arrangements
  • Support consultants with business development and marketing activities
  • Administer the client contracting process, ensuring compliance with firm quality standards
  • Archive contracts in the appropriate databases
  • Maintain and update client databases (Know Your Client, CRM entries)
  • Coordinate with Project Managers on financial management of project codes in Oracle
  • Prepare accounting adjustments and coordinate instructions between the Retirement team and the billing department
  • Stay updated on internal company processes to guide the team through updates or changes
  • Coordinate document signing processes with the Head of Retirement

Requirements

  • FP de Grado Superior in Administration and Finance, Management Assistance, Secretarial studies, or equivalent
  • At least 3 years of experience as a senior secretary or administrator
  • Relevant experience in financial processes
  • Proficiency in Microsoft Office applications
  • High level of English (ability to communicate orally and in writing in a professional environment)
  • Strong organizational and communication skills
