About the role

Responsibilities

  • Provide strategic, high-impact administrative support to the Vice President and Senior Director.
  • Manage complex executive calendars, prioritizing critical business activities and governance forums.
  • Translate executive goals into actionable operating plans and track progress against milestones.
  • Coordinate global logistics and communications for multi-site team engagements across five global locations.
  • Support the research, implementation, and optimization of AI-driven tools to enhance operational efficiency.
  • Plan and execute high-visibility meetings, workshops, off-sites, and collaborative working sessions.
  • Act as a primary liaison between leadership and cross-functional teams to manage alignment and decision gates.
  • Manage expense reporting, financial administration, and highly confidential information with discretion.

Requirements

  • 4-6 years of related experience in a mid to large-sized organization.
  • Proven track record of supporting multiple senior leaders and managing complex, distributed teams.
  • Demonstrated experience in calendar management, meeting coordination, and project management.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort with emerging AI tools.
  • Willingness to learn scientific fundamentals (chemistry, physics, or biology) to engage with R&D teams.
  • Ability to work on-site 5 days per week at the San Diego headquarters.

Preferred Qualifications

  • Experience in a biotechnology, pharmaceutical, or life sciences environment.
  • Background in executive partnership roles supporting senior leadership.
  • Experience evaluating or implementing new technologies and digital tools.
  • Experience working within global, distributed teams or matrix organizational structures.
  • Bachelor's Degree.
