About the role

Responsibilities

  • Provide proactive, strategic, and detail-driven administrative and operational support for the Office of Government and Community Affairs.
  • Manage complex calendars for the Vice President and other team members, resolving conflicts and prioritizing commitments.
  • Coordinate complex travel arrangements and ensure accurate expense submission.
  • Lead the planning and execution of internal and external events, including workshops, orientations, and interviews.
  • Manage event logistics such as room bookings, catering, technology coordination, and vendor management.
  • Act as a primary point of contact for high-level constituents, managing incoming communications and inquiries.
  • Draft and deliver correspondence on behalf of the Vice President and the GCA team.
  • Maintain digital stakeholder databases, contact lists, and accurate engagement history.
  • Oversee office physical and technical infrastructure, including facilities requests and IT coordination.
  • Support the implementation of GCA projects, including research and the development of executive briefings.

Requirements

  • Bachelor's degree or equivalent.
  • Minimum of 3 years of full-time professional experience in a related field.
  • Advanced proficiency in Google Workspace, Microsoft Office Suite, and Zoom.
  • Excellent written and verbal communication skills.
  • Proven ability to handle multiple demands simultaneously and remain calm under pressure.
  • Demonstrated record of reliability, tact, diplomacy, and the ability to maintain high confidentiality.

Preferred Qualifications

  • Prior experience supporting an executive-level office in a higher education or complex organizational setting.
  • Experience working with local government and/or community stakeholders.
  • Knowledge of Columbia University systems such as ServiceNow, Concur, Slack, Bedework, and RingCentral.
