About the role

Responsibilities

  • Provide executive-level support to the Director and manage day-to-day logistics for the Irving Institute.
  • Develop the Director's communications, prepare meeting materials, and contribute to presentation development.
  • Manage the Director's calendar, coordinate appointments, and handle complex travel arrangements and expense reports.
  • Assist with clinical, hospital, and research training certification renewals and maintain up-to-date CVs and NIH Biosketches.
  • Liaise with senior administrative staff, University officials, faculty members, and external contacts.
  • Support the preparation of grant application materials, progress reports, and faculty nomination packages.
  • Facilitate administrative tasks for the Director’s office and Vice Dean functions at the Vagelos College of Physicians and Surgeons.

Requirements

  • Bachelor's Degree or Advanced Degree in a relevant health sciences field.
  • Minimum of 4 years of relevant experience in an academic or medical setting.
  • Strong writing, critical thinking, and analytical skills.
  • Proficiency in Microsoft Office (Excel, Word, Teams, PowerPoint, OneDrive, SharePoint).
  • Demonstrated ability to handle confidential and private material with high discretion.
  • Proven ability to work independently and manage multiple projects in a deadline-driven environment.

  • Exceptional organizational ability with the capacity to manage a large volume of detailed work simultaneously.
  • Strong service-minded work ethic and ability to work with minimal supervision.
  • High level of diplomacy and judgment when interacting with diverse stakeholders.
