About the role
Responsibilities
- Manage and support high-level confidential activities related to operations, planning, and projects within the Dean's Office
- Provide advanced administrative support, including complex calendar management and coordinating schedules for Vice Deans and Associate Deans
- Execute committee and working group coordination, including scheduling meetings and following up on commitments
- Draft, copy edit, and proofread memos, letters, briefing documents, proposals, and reports
- Coordinate logistics for meetings, special events, and travel arrangements
- Administer financial reconciliation and monitor expenses in accordance with university policies
- Compile and track information and data to support departmental priorities
Requirements
- University degree or an equivalent combination of education and experience
- Minimum of 3 years of experience as a senior executive assistant
- Proven experience managing highly complex calendars and liaising with senior administrators
- Demonstrated ability to handle sensitive and confidential matters with tact and diplomacy
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and website management software
- Excellent written and oral communication skills with strong editing capabilities
- Ability to work independently, manage multiple deadlines, and prioritize conflicting tasks
Preferred Qualifications
- Knowledge of University of Toronto administrative policies and expense reimbursement procedures
- Experience working within a university academic environment
