About the role

Responsibilities

  • Serve as the primary point of contact for the Dean’s Office, including greeting visitors, answering phones, and monitoring emails.
  • Coordinate daily administrative functions such as scheduling, meeting coordination, travel arrangements, and reimbursements for faculty and staff.
  • Organize and maintain departmental files, records, and electronic logging systems.
  • Act as a liaison between students, faculty, staff, and patients to explain policies and handle special requests.
  • Assist with the signature approval process for administrative and financial documents.
  • Support committee activities by preparing reports, taking minutes, and tracking recommendations.
  • Assist in planning annual events, lectures, and other special college functions.
  • Manage office supplies, inventory, and assist with employee onboarding and orientation.

Requirements

  • Associate’s degree plus 2–3 years of relevant clerical and administrative support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suite.
  • Strong multitasking, time-management, and prioritization skills.
  • Excellent data entry, organizational, and record-keeping skills.
  • Ability to handle confidential information with high discretion.
  • Strong written and verbal communication skills, including grammar and math.

Preferred Qualifications

  • Previous experience working in higher education.
  • Experience working within a dental practice or clinical setting.
