About the role

Responsibilities

  • Provide advanced administrative support for the School of Marine and Environmental Programs (SMEP) daily operations.
  • Handle complex and confidential situations, requests, and sensitive matters with discretion.
  • Assist in departmental budget planning, monitor expenditures, and process budget documents.
  • Coordinate and schedule travel, meetings, and appointments for managers or supervisors.
  • Prepare meeting agendas, record minutes, and distribute relevant documentation.
  • Manage office supplies, coordinate equipment maintenance, and maintain petty cash records.
  • Respond to administrative inquiries, answer phone calls, and welcome visitors and students.
  • Maintain organized filing systems and retrieve information from records and email as requested.

Requirements

  • 2-3 years of relevant administrative experience, or a combination of education and experience.
  • Associate degree preferred.
  • Intermediate proficiency in Microsoft Office Suite or related software.
  • Strong interpersonal communication skills with the ability to interact with a diverse group of stakeholders.
  • Excellent organizational skills and high attention to detail.
  • Proven ability to multitask and work independently in a fast-paced environment.
