About the role
Responsibilities
- Prioritize workloads involving multiple large projects and timelines, including the implementation of new software applications or databases.
- Coordinate large-scale events, including planning, organizing, and managing all necessary activities.
- Use advanced software such as Excel, ChemDraw, Filemaker Pro, Access, and PowerPoint to create complex reports, charts, and presentations.
- Liaise with guests and speakers to coordinate travel, hotel accommodations, and expense reports.
- Assist with budget preparation, monthly reviews, and variance research.
- Act as a resource and mentor to other administrative assistants and assist in their orientation.
- Support department goals by managing workflows and assisting with facilities space planning or office set-up.
Requirements
- BA/BS with 0+ years of administrative or executive support experience; OR
- AA with 2+ years of administrative or executive support experience; OR
- High school diploma with 3+ years of administrative or executive support experience.
- Advanced knowledge and experience using various office software programs.
- Strong proofreading and editing skills for technical documents.
- Excellent verbal, written, and interpersonal communication skills.
- Ability to work under minimal supervision and manage non-routine responsibilities.
