About the role

Responsibilities

  • Serve as the first point of contact for the Dean’s office, interacting with faculty, students, alumni, and health professionals.
  • Manage calendars for the Dean and the Vice Dean of Finance & Administration.
  • Coordinate document collection and administrative processes for faculty promotions and annual performance reviews.
  • Assist in preparing documents for faculty tenure reviews, including data collection and summary charts.
  • Prepare, coordinate, and proofread confidential correspondence and official documents.
  • Handle travel arrangements, reservations, and appointments for the Dean.
  • Manage business expense forms, reimbursements, and P-card reconciliations.
  • Coordinate arrangements for guest speakers and visitors, including itineraries and travel.
  • Assist in planning and organizing meetings, special events, and faculty/staff gatherings.
  • Maintain school listservs, faculty/staff directories, and the Dean’s Office filing system.
  • Perform office management tasks including mail handling, equipment oversight, and supply inventory.
  • Take minutes at faculty and staff meetings.

Requirements

  • Bachelor's degree.
  • At least three (3) years of related administrative experience.
  • Proficiency in Microsoft Office (Excel, PowerPoint), Adobe, and Zoom.
  • Strong organizational and multitasking skills with the ability to meet deadlines.
  • Excellent interpersonal, oral, and written communication skills.
  • Ability to handle confidential information with discretion and sound judgment.
  • Detail-oriented approach to managing complex information and projects.
