About the role

Responsibilities

  • Manage day-to-day departmental administrative operations and serve as the primary point of contact for reception and inquiries.
  • Coordinate meetings, manage calendars, handle correspondence, and oversee office logistics such as supply ordering.
  • Prepare, process, and monitor administrative, operational, and financial documentation to ensure accuracy and timely submission.
  • Maintain and update departmental records in both electronic and manual systems, including databases and filing systems.
  • Utilize computerized record-keeping systems to enter data and generate routine or ad hoc reports.
  • Perform bookkeeping and financial support functions, including processing budget documents and monitoring financial activity.
  • Act as a liaison between students, faculty, staff, and external partners to explain policies and resolve issues.
  • Train and provide guidance to student employees and junior staff.

Requirements

  • Associate’s Degree in business or a related discipline (or an equivalent combination of education and experience).
  • 2-3 years of relevant administrative experience.
  • Proficiency in computerized information systems and standard PC-based software.
  • Strong typing, word processing, and general writing skills.
  • Ability to communicate effectively with a diverse range of university personnel and external constituents.

Preferred Qualifications

  • Previous experience with bookkeeping or accounting functions.
