About the role
Responsibilities
- Serve as the primary point of contact for students, staff, and faculty, responding to enquiries and disseminating Centre information
- Support administrative workflows, including developing and maintaining procedures and analyzing workflows for improvement
- Assist the Director with complex calendar management, scheduling, and meeting coordination
- Draft, edit, and prepare various written documents, correspondence, and reports
- Manage meeting logistics, including agendas, materials, and follow-up items
- Coordinate event planning and logistical details for various programming scales
- Maintain accurate records and handle confidential documents with discretion
- Process payroll and manage financial information using university databases
Requirements
- Advanced College Diploma (3 years) or an equivalent combination of experience
- Minimum of five years of related administrative experience
- Proven experience managing complex calendars for senior staff members
- Experience working with University of Toronto policies and procedures
- Advanced proficiency in MS Office (Word, Excel, Access, Outlook, PowerPoint)
- Experience in event planning and coordinating meeting schedules
- Strong written and verbal communication skills with excellent organizational abilities
- Ability to work effectively with diverse stakeholders in a fast-paced environment
Preferred Qualifications
- Experience assisting with financial planning, grant writing, or seminar planning
- Ability to read, write, and speak French
