About the role
Responsibilities
- Serve as the first point of contact for walk-in visitors, phone calls, and general HR inquiries.
- Manage the HR shared inbox by receiving and routing emails to appropriate staff.
- Perform routine clerical duties including data entry, filing, scanning, copying, and record retention.
- Maintain personnel files and archives in both digital HR systems and physical files.
- Support HR processes including recruitment record updates, I-9/onboarding documentation, and employee exit processing.
- Process employment verification requests through third-party vendors.
- Assist with budget and purchasing tasks, such as preparing purchase requisitions and reimbursement forms.
- Coordinate scheduling for HR leadership and manage shared calendars and training room reservations.
Requirements
- High School Diploma, GED, or equivalent.
- 2 years of administrative or clerical experience.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong customer service and interpersonal skills.
- Ability to handle sensitive and confidential information with high discretion.
- Must be authorized to work in the United States without visa sponsorship.
Preferred Qualifications
- Experience working in a Human Resources or higher-education environment.
- Experience with data entry in HR or administrative systems (e.g., Banner, PeopleAdmin, ADP).
