About the role

Responsibilities

  • Act as the first point of contact for the Office of Student Academic Services and RHL Graduate School, managing inquiries and greeting visitors
  • Provide confidential executive support to the Assistant Dean and Directors, including calendar management and travel coordination
  • Coordinate complex administrative procedures, office operations, and day-to-day tasks such as mail, supplies, and equipment maintenance
  • Perform financial duties including monitoring transactions, reconciling credit cards, and processing expense reimbursements
  • Assist with human resources processes, including coordinating employee recruitment, onboarding, and offboarding
  • Plan and execute various events, meetings, and workshops, providing logistics and day-of support
  • Provide administrative support to committees by scheduling meetings, preparing agendas, and taking minutes
  • Supervise and provide guidance to student workers regarding their daily tasks

Requirements

  • High School graduation plus at least one year of post-secondary education
  • Four years of related administrative experience, or an equivalent combination of education and experience
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Excellent written and oral communication skills
  • Commitment to equity, diversity, and inclusion

Preferred Qualifications

  • Typing speed of 65 wpm with high accuracy in data entry and transcription
  • Experience using Workday
  • Strong interpersonal skills with experience working in a student-facing environment
  • Ability to exercise high levels of tact, diplomacy, and discretion when handling confidential information
  • Superior task planning, time management, and ability to work proactively under pressure
