About the role

Responsibilities

  • Provide administrative and operational support for the de Boer and Shakiba laboratories
  • Manage calendars, schedules, and meeting arrangements for Principal Investigators (PIs)
  • Assist with grant applications, reporting, and maintaining PI curriculum vitae (CVs)
  • Coordinate travel, accommodations, and expense reimbursements via Workday
  • Organize lab meetings, retreats, social events, and VIP lab tours
  • Facilitate recruitment processes, including scheduling interviews and arranging travel for prospective members
  • Maintain lab websites, alumni LinkedIn groups, and contact lists
  • Handle lab-related purchases and catering using a UBC Visa card

Requirements

  • High School graduation plus at least one year of post-secondary education
  • Four years of related administrative experience
  • Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Typing speed of at least 60 wpm
  • Demonstrated commitment to equity, diversity, and inclusion

Preferred Qualifications

  • Previous experience working within a university, research, or healthcare environment
  • Prior experience working at UBC
  • Strong organizational skills with the ability to manage multiple concurrent projects
  • Proficiency with electronic communication platforms such as Slack, MS Teams, and Zoom
  • Excellent written and verbal communication skills in business English
  • Ability to handle sensitive and confidential information with discretion
