About the role
Responsibilities
- Provide administrative and operational support for the de Boer and Shakiba laboratories
- Manage calendars, schedules, and meeting arrangements for Principal Investigators (PIs)
- Assist with grant applications, reporting, and maintaining PI curriculum vitae (CVs)
- Coordinate travel, accommodations, and expense reimbursements via Workday
- Organize lab meetings, retreats, social events, and VIP lab tours
- Facilitate recruitment processes, including scheduling interviews and arranging travel for prospective members
- Maintain lab websites, alumni LinkedIn groups, and contact lists
- Handle lab-related purchases and catering using a UBC Visa card
Requirements
- High School graduation plus at least one year of post-secondary education
- Four years of related administrative experience
- Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Typing speed of at least 60 wpm
- Demonstrated commitment to equity, diversity, and inclusion
Preferred Qualifications
- Previous experience working within a university, research, or healthcare environment
- Prior experience working at UBC
- Strong organizational skills with the ability to manage multiple concurrent projects
- Proficiency with electronic communication platforms such as Slack, MS Teams, and Zoom
- Excellent written and verbal communication skills in business English
- Ability to handle sensitive and confidential information with discretion
