About the role

Responsibilities

  • Provide administrative support for the Oil, Gas & Chemicals business line
  • Maintain and update databases and internal systems including BOSS, G6, and PandaDoc
  • Manage and archive digital documentation following confidentiality standards
  • Open job numbers, process invoicing, and follow up on payments
  • Create purchase orders for third-party and affiliate jobs via I-Procurement
  • Assist in the preparation, drafting, and formatting of proposals and tenders
  • Coordinate with sales, finance, and operations teams to ensure data accuracy

Requirements

  • Bachelor’s degree in administration, Secretarial Studies, or a similar field
  • Advanced proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word)
  • Advanced proficiency in Windows-based applications
  • English language proficiency at B2 level
  • Strong organizational and attention-to-detail skills
  • Ability to work effectively in a team and under pressure

Preferred Qualifications

  • Previous experience in administrative roles
  • Experience with Salesforce or PandaDoc
  • Experience in the Oil, Gas & Chemicals sector or port inspection industry
