About the role
Responsibilities
- Provide technical and administrative support to the Dean’s Office and the Office of Fiscal Services in a high-volume environment.
- Design and implement organizational systems for managing hard copy files, electronic records, and databases.
- Process requisitions, purchase orders, vendor invoices, and reimbursements using Banner and Emburse.
- Lead logistics and administrative planning for events, guest visits, receptions, and meetings.
- Coordinate domestic and international travel arrangements and manage the Dean’s calendar.
- Support human resources functions, including processing personnel action forms, position descriptions, and hiring search logistics.
- Assist the Finance Department with budget tracking, monthly reports, journal entries, and grant-related billing.
- Serve as a key point of contact for the Dean’s Office, managing correspondence, phone calls, and guest inquiries.
- Maintain office supply inventory and ensure the proper operation of office equipment.
Requirements
- Two years of post-high school education.
- Three years of administrative office experience.
- Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
- Valid driver's license and eligibility to drive for university business.
Preferred Qualifications
- Bachelor’s degree.
- Five years of increasingly complex administrative experience.
- Experience maintaining confidential records and knowledge of office management principles.
- Strong English composition skills and the ability to create, compose, and edit professional reports and correspondence.
- Demonstrated ability to work effectively with diverse populations and a commitment to diversity, equity, and inclusion.
- Experience with website management and budget/general accounting practices.
