About the role
Responsibilities
- Provide comprehensive administrative support to the HPB Oncology Research program and the program Genetic Counsellor
- Manage patient scheduling, coordination of blood work, and diagnostic testing appointments
- Maintain patient records, databases, and clinical documentation while ensuring strict confidentiality
- Coordinate departmental meetings, including agenda preparation, minute-taking, and follow-up on action items
- Plan and support onsite and offsite meetings, conferences, and educational events, including logistics and travel arrangements
- Act as a primary point of contact for patients, families, healthcare providers, and external partners
- Develop and maintain efficient office procedures, filing systems, and administrative workflows
- Provide backup administrative coverage for the Wallace McCain Centre for Pancreatic Cancer as needed
Requirements
- Community College Diploma in General or Medical Office Administration (or equivalent)
- 2–3 years of related administrative experience
- Proficiency in Microsoft Office applications for document preparation and data management
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent verbal and written communication skills with a patient-centered approach
Preferred Qualifications
- Experience in healthcare administration or supporting clinical programs in a hospital/academic setting
- Experience coordinating patient appointments, referrals, and clinical documentation
- Knowledge of hospital information systems, specifically Epic
- Familiarity with genetics, oncology, or multidisciplinary clinical programs
