About the role

Responsibilities

  • Provide administrative support to senior leaders, including calendar maintenance, meeting coordination, and phone coverage
  • Manage day-to-day communication between senior leaders and company staff or external business clients
  • Coordinate complex domestic and international travel plans and manage subsequent expense report submissions
  • Ensure department invoices and expense reports are processed accurately and timely
  • Assist with the planning and coordination of department events, including room reservations, catering, and A/V equipment
  • Prepare, format, and edit highly professional PowerPoint presentations
  • Compile and analyze information relevant to department projects and maintain department budgets
  • Work with business units such as Technology and Facilities to facilitate system access and physical relocations

Requirements

  • 5+ years of administrative assistant experience supporting senior management in a professional environment
  • Proficiency in Microsoft Office Applications (Word, Excel, Teams) and SharePoint
  • Advanced PowerPoint skills with the ability to synthesize and present information visually
  • Strong organizational skills and the ability to maintain orderly files and records
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and exercise independent judgment
  • Ability to prioritize multiple tasks and perform effectively in a fast-paced environment

Preferred Qualifications

  • Associate Degree in Business Administration or a related field
  • Administrative certification
  • Experience working within the finance industry or a corporate environment
