Administrative Assistant – EMEA Finance & Operations

Responsibilities

• Maintain EMEA budget trackers, reconcile against NetSuite cost centers, and support monthly variance analysis and quarterly forecasts
• Own the end-to-end EMEA PO process, including vendor onboarding, approvals, and tracking against delivery milestones
• Monitor the EMEA AP queue and serve as the primary contact for vendor invoice inquiries through month-end close
• Coordinate and reconcile multi-currency vendor payments (EUR, GBP, SEK) and support VAT documentation
• Manage EMEA shipping operations and accounts, including import/export taxation and cross-office logistics
• Provide administrative support to EMEA teams and support office operations for the Germany office

Requirements

• Bachelor's degree in Business, Finance, Accounting, or equivalent experience
• 2+ years in finance operations, AP, or administrative roles, ideally at a multinational or tech company
• Fluency in English and German
• Proficiency in Excel and Google Sheets
• Experience managing procurement, AP, and vendor relationships across multiple countries
• Familiarity with multi-currency payments and VAT requirements across EMEA
• Proactive, self-directed, and comfortable in a fast-paced startup environment

Preferred Qualifications

• Experience with NetSuite or a comparable ERP
• Additional European languages such as French or Swedish
• Experience with international shipping operations and import taxation
• Familiarity with withholding tax documentation across EMEA jurisdictions
