About the role
Responsibilities
- Provide comprehensive administrative and operational support to the Department Chair, Associate Chair, Program Coordinators, and faculty.
- Manage departmental calendars, schedule meetings, and reserve classrooms or event spaces.
- Coordinate departmental activities and special events such as graduation, orientation, and Engineering Week.
- Handle fiscal tasks including processing purchases, reimbursements, and assisting with budget administration.
- Support academic administration by managing course records, textbook orders, and student exit interviews.
- Assist with faculty onboarding for graders and teaching assistants.
- Serve as a liaison between the department and university services like IT, Facilities, and Materials Management.
- Supervise and coordinate the work of student office assistants.
Requirements
- Bachelor's degree from an accredited institution.
- Experience advising, supporting, or interacting with students.
- Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams).
- Strong written, verbal, and interpersonal communication skills.
- Excellent organizational, time-management, and multitasking abilities.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred Qualifications
- Previous administrative experience in a higher education environment.
- Experience working directly with university students, faculty, and administration.
- Familiarity with university purchasing, budgeting, travel, and reimbursement processes.
