About the role

Responsibilities

  • Provide advanced administrative support to supervisors and science programs, including correspondence, document preparation, and travel logistics.
  • Manage financial tasks such as expense verification, processing payment requests, purchase orders, and managing petty cash.
  • Coordinate logistical support for scientists and visitors, including housing, transportation, and reservations.
  • Oversee contract monitoring for staff and consultants and assist in preparing sub-agreements with collaborators.
  • Support procurement processes by gathering product information and obtaining quotes from vendors.
  • Coordinate high-level meetings, including room bookings, catering, and participant communication.
  • Maintain accurate project and science program records within institutional accounting systems.

Requirements

  • 3–5 years of experience in administrative positions, preferably within research or program support environments.
  • Proficiency in MS Office and experience with financial/accounting systems (e.g., ERP or SAP).
  • Experience with procurement, vendor management, and meeting coordination tools like Teams, Zoom, and SharePoint.
  • Fluency in both written and spoken English and Spanish.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities independently.
