About the role
Responsibilities
- Serve as the primary point of contact for employees, clients, vendors, and visitors
- Manage reception services including visitor badges, logs, and security procedures
- Provide administrative support for a project office of 200+ staff members
- Manage incoming/outgoing mail, packages, and building maintenance requests
- Monitor and replenish office, kitchen, and breakroom supplies
- Manage calendars and coordinate meetings for project leadership, including Partners and Managing Directors
- Plan and coordinate office events, meetings, conferences, and receptions
- Coordinate conference room reservations and meeting logistics
Requirements
- Minimum of 3 years of experience in administrative support, reception, or office coordination
- Experience supporting large corporate office environments or executive leadership
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong interpersonal, verbal, and written communication skills
- Ability to prioritize multiple tasks and manage competing deadlines
- Legal authorization to work in the United States without sponsorship
Preferred Qualifications
- Experience coordinating executive calendars across multiple time zones
- Experience managing conference room scheduling and meeting logistics
- Experience planning corporate functions and office events
- Prior experience supporting C-suite leadership or Managing Directors
