Administrative Assistant

Responsibilities

• Maintain EMEA budget trackers and reconcile against NetSuite cost centers
• Support monthly variance analysis and quarterly forecasts
• Own the end-to-end EMEA purchase order process, including vendor onboarding and approvals
• Monitor the EMEA accounts payable queue and serve as the primary contact for vendor invoice inquiries
• Coordinate and reconcile multi-currency vendor payments (EUR, GBP, SEK) and support VAT documentation
• Manage EMEA shipping operations and accounts, including import/export taxation and logistics
• Provide administrative and office operations support for the Germany office

Requirements

• Bachelor's degree in Business, Finance, Accounting, or equivalent experience
• 2+ years in finance operations, accounts payable, or administrative roles
• Fluency in both English and German
• Proficiency in Excel and Google Sheets
• Experience managing procurement, AP, and vendor relationships across multiple countries
• Familiarity with multi-currency payments and VAT requirements across EMEA
• Ability to work in a fast-paced startup environment with a proactive, hands-on mindset

Preferred Qualifications

• Experience with NetSuite or a comparable ERP system
• Proficiency in additional European languages such as French or Swedish
• Experience with international shipping operations and import taxation
• Familiarity with withholding tax documentation across EMEA jurisdictions
