About the role

Responsibilities

  • Manage calendar, meeting scheduling, and travel arrangements
  • Organize internal and external meetings, including agenda preparation and logistics
  • Prepare meeting materials, minutes, and follow-up tracking
  • Act as a coordination point between the VP and internal/external stakeholders
  • Support communication across functions and regions
  • Handle basic correspondence and ensure timely information flow
  • Support daily office operations and administrative processes
  • Maintain documentation, reports, and filing systems
  • Assist in expense management and basic budgeting tracking
  • Organize management meetings, workshops, and team events
  • Ensure smooth execution and logistics coordination

Requirements

  • Bachelor’s degree or above
  • 3–8 years of experience in administrative or executive assistant roles
  • Experience in multinational companies is a plus
  • Strong organization and coordination skills
  • High level of attention to detail and reliability
  • Good communication and interpersonal skills
  • Ability to handle multiple tasks in a fast-paced environment
  • Fluent in English and Chinese
