Accounts Payable Specialist

Responsibilities

• Review, verify, and process vendor invoices for accuracy and proper authorization
• Match invoices to purchase orders and resolve discrepancies promptly
• Enter invoice data into the accounting system for payment processing
• Prepare and process electronic payments (ACH, wire transfers) and checks
• Monitor payment schedules to ensure timely disbursements
• Reconcile vendor statements and resolve outstanding balances
• Assist in month-end and year-end closing processes
• Generate accounts payable aging reports and payment activity summaries
• Serve as the primary contact for vendor inquiries
• Ensure compliance with company policies and tax requirements like 1099 reporting
• Support internal and external audits

Requirements

• High school diploma or equivalent
• 2–4 years of experience in accounts receivable, billing, or general accounting
• Strong understanding of accounting principles and accounts payable management
• Familiarity with Unanet and Deltek Costpoint
• Advanced Microsoft Excel skills including pivot tables
• Knowledge of tax compliance and vendor management
• U.S. Citizenship Required

Preferred Qualifications

• Bachelor’s degree in Accounting, Finance, or a related field
• Knowledge of credit and collection laws and regulations
